Do I need new hardware or a new phone number?
You do not need new phones, desk hardware, or a replacement business number to use MaidPilot’s AI Receptionist.
Keep the number your customers already dial. When you are ready, forward that line to the MaidPilot number provided in your account.
Forwarding is usually configured with your carrier or phone system in a few minutes. After that, inbound calls can be answered by the AI while you keep your public number unchanged.
You can turn forwarding off anytime if you want calls to ring your team directly again.
Is the AI Receptionist included in the Starter plan?
Starter is an operations plan. It includes CRM, Calendar / Jobs, the Email channel, and AI Owner Copilot — not inbound AI call answering.
The AI Receptionist is sold as a paid add-on (with monthly call-minute tiers), or you can choose a dedicated receptionist bundle plan that packages Starter tools with the receptionist.
That split keeps base operations pricing separate from live voice minutes. Enable the add-on only when you want MaidPilot to answer the phone.

What happens when a caller needs a real person?
The AI Receptionist is designed to escalate, not stonewall. When a caller needs a real person, it hands off and notifies you right away.
Complaints, property damage, refunds, legal or insurance topics, and angry callers trigger automatic escalation based on the rules you configure.
You get an in-app (and configured) alert so you can call back quickly with full context from the transcript and summary.

What kinds of cleaning businesses is Maidpilot for?
MaidPilot is built for cleaning businesses that take phone leads and manage recurring or one-off jobs.
That includes residential cleaners and maid services, Airbnb and short-term rental turnover teams, move-in / move-out specialists, and commercial janitorial companies.
You configure your own services, hours, and policies so the product matches how you sell — whether you run a solo operation or a growing crew.
If your work is cleaning-focused and inbound calls matter, MaidPilot’s CRM, calendar, channels, and optional AI Receptionist are aimed at you.

How does the AI know about my services and prices?
You teach the AI with a knowledge document plus the services, hours, and FAQs you maintain in MaidPilot.
On calls it answers from that material. It should not invent prices or promise dates outside the rules and catalog you configured.
Keep the knowledge doc and service list up to date whenever rates, packages, or policies change — stale content is the usual cause of wrong answers.
Review call summaries after go-live and refine wording where callers ask questions you have not covered yet.
Can it actually book a job?
The AI does not auto-book confirmed jobs on your calendar. It collects service type, address, preferred times, and related details from the caller.
That information becomes a booking request for you (or your team) to review and approve in the dashboard.
You stay in control of capacity, pricing exceptions, and which jobs get confirmed. Until you approve, nothing is treated as a locked appointment.
The same request pattern applies when leads come in through other channels that create booking requests for your review.
What if the caller is angry or reports damage?
Sensitive situations are escalation-first. If a caller is angry, reports damage, asks about refunds, or raises legal or insurance issues, the AI is built to hand off to a human.
You receive a notification so someone on your team can take over or call back promptly.
Configure these triggers and handoff behavior in AI Secretary settings before you forward live traffic.
Transcripts and summaries remain available so the person who follows up has the full story without asking the customer to repeat everything.
Do I get a record of each call?
Yes. Each AI Receptionist call is transcribed and summarized so you can skim what happened without listening to the full audio every time.
AI actions are also written to an audit trail you can review in the dashboard — useful for coaching, disputes, and quality checks.
Use those records to approve booking requests, update CRM notes, and improve your knowledge document when callers ask new questions.
Access is limited to your company workspace; teammates only see what their role allows.
Billing
Is there a free trial?
Yes. MaidPilot plans include a 14-day trial with a card on file via Stripe Checkout.
During signup you choose the base operations or receptionist plan and any add-ons you want to try before going fully live.
Companies start in a pending subscription state until a plan and payment method are verified when Stripe is configured.
After the trial, billing continues monthly for the plan and add-ons you keep. You can change plan, add capacity, or cancel anytime from Billing settings in the dashboard.
Why is the AI Receptionist a separate add-on?
Base operations plans cover CRM, scheduling, and related tools. Live AI call answering consumes voice minutes, so it is priced separately.
You add the AI Receptionist only when you want MaidPilot to answer inbound calls. That way teams who only need ops tools are not forced to pay for voice capacity.
If you prefer a single combined price, receptionist bundle plans package Starter operations with a receptionist tier.
Either path grants the same AI Secretary feature once enabled — only packaging and minute allowances differ.
What's included in the AI Receptionist price?
The AI Receptionist add-on covers inbound call answering, lead and booking-request capture, plus call transcripts and summaries in your dashboard.
Each tier includes a monthly allowance of AI call minutes. Higher volume usually means moving up to Plus or Growth.
It does not replace your operations plan — you still need CRM/calendar (or a receptionist bundle that includes them) to run the rest of the business.

Can I cancel anytime?
Yes. Plans and add-ons are billed monthly. You can cancel or change them from Billing settings without a long-term contract in the product.
If you downgrade or cancel, your company data remains available according to your account status — you are not forced into an immediate wipe just for changing plan.
Remove only the AI Receptionist add-on if you want to stop inbound AI answering but keep CRM and calendar.
After canceling voice, update call forwarding so customers reach your team on the path you intend.
Phone, SMS & Email
How do phone calls work?
With the AI Receptionist enabled, forward your existing business number to MaidPilot. The AI answers inbound calls around the clock within your configured rules.
It captures lead details and booking requests, then sends you a summary so you can follow up or approve the request.
When a caller needs a person — or hits an escalation rule — the AI hands off and notifies you.
No new hardware is required; forwarding is the main setup step after knowledge and services are configured.
How do SMS and email work?
SMS and Email are plan or add-on channels. Enable them to send confirmations, reminders, and follow-ups to customers.
Email is included on Starter; SMS is available on Pro and higher (or via the SMS channel add-on). Turn on the channels you need from billing and channel settings.
When AI Inbox is enabled, conversations stay threaded in your inbox so your team can see history in one place.
Channel add-ons are independent from the AI Receptionist — you can use messaging without voice, or voice without SMS.
Is my customer data used to train third-party AI models?
No. MaidPilot does not share or sell your customer data for training third-party AI models.
Third-party services are used only to deliver the features you enable — for example voice, SMS, email, or AI text processing needed by the product you turned on.
Your company data stays scoped to your workspace. Teammates and integrations only see what your configuration and roles allow.
