WhatsApp for cleaning businesses: the four jobs it actually does

Intake, quotes, reminders, and confirmations — what works on WhatsApp, what breaks without a system of record, and templates you can copy today.

MaidPilot AI Inbox with a customer thread next to the job and property record

WhatsApp is the default business channel in Brazil and a common one in the US for cleaning companies whose customers prefer a message to a phone call. It is not a CRM, it is not a calendar, and it has no memory of the promise you made three weeks ago about the dog. Treat it as a delivery channel, not as the business, and most of the operational pain disappears.

The four jobs

What cleaning companies actually do on WhatsApp

Four jobs, one channel — and each one needs a record behind it.

  1. Intake

The first message is rarely a booking. It is "how much for a two bedroom?" Collect bedrooms, bathrooms, square footage, pets, and last clean — then save them on the customer record.

    Lead lands in CRM
  2. Quotes

A price in a chat bubble is easy to send and impossible to prove. Scope, exclusions, and validity belong on a written quote the customer can reopen.

    Quote attached to job
  3. Reminders

The day-before reminder is the highest-value message you send. It reduces lockouts and no-shows — and a personal phone cannot promise it will go out.

    Sent from the calendar
  4. Confirmations

Three buttons — confirm, reschedule, can't make it — beat a paragraph. A tap is something a system can record and act on.

What breaks

When WhatsApp is the whole system

Nothing breaks on a quiet Tuesday. These four failures cost money every busy week.

No single record of the promise

Price, scope, and add-ons live in three threads with two family members. Nobody can prove what was agreed.

No property memory

Gate code, dog, hot tap, and product preferences live in whoever went last — not on the property record.

No queue

A message at 9:40 while both cleaners are on site waits for a free hand. Two hours later the customer booked someone else.

No audit trail

“I told you on WhatsApp” is not a record you can search, filter, or export when the job is disputed.

Automation fixes the queue. A system of record fixes the first three. A chat app provides neither.

Message → record → reply

How an inbound WhatsApp becomes a job event inside MaidPilot.

How AI Inbox works: messages arrive, AI drafts a reply, you resolve and the thread is saved

Opt-in is per channel

WhatsApp consent is stored separately from SMS consent. Confirmations and schedule updates only go to opted-in customers.

Buttons, not paragraphs

Job messages carry reply buttons for confirm, reschedule, and can't make it — with a STOP footer.

One inbox, one record

Inbound replies land next to the customer's jobs, invoices, and property notes — not on a personal phone.

Per-event switches

Each notification event has its own toggle. When WhatsApp is on for an event, SMS is not sent for that same event.

Suppression instead of spam

Optional pings are skipped if the last WhatsApp send failed, or if the last three sends got no reply.

STOP means stop

WhatsApp opt-out matches whole messages only, so "cancel appointment" does not unsubscribe a customer.

Copy-paste

Three templates worth copying

Send these from your business number, keep them short, and attach the reply to the customer record.

Hi {first name}, thanks for the message. To quote accurately I need four things:
1) bedrooms and bathrooms
2) approximate square footage
3) pets indoors, yes or no
4) last time the home had a professional clean
Photos of the kitchen and each bathroom help a lot. I'll send a written price today.
Reminder: your clean is tomorrow between {window start} and {window end}.
Please leave access as agreed ({key / lockbox / someone home}).
Reply STOP to stop messages.
Your clean is booked for {date}.
Confirm · Reschedule · Can't make it
Reply STOP to stop messages.

The third template is the one that pays for the system. Buttons turn a confirmation into an event your software can record.

Migration

Moving WhatsApp into a system, in four steps

  1. Move the number

Decide which number customers will message, and use it everywhere — profile, website, invoices.

  2. Seed the templates

Confirmation, reminder, pre-job confirmation, and review request are the four that run on their own.

  3. Record consent

Capture WhatsApp opt-in separately from SMS at intake, and honour STOP per channel.

  4. Watch the queue

Once replies land in one inbox with the job attached, the phone stops being the business.

FAQ

WhatsApp for cleaning companies: questions

Is WhatsApp included in every MaidPilot plan?
No. In the US, Starter is email only; WhatsApp is bundled with Pro and Business. In Brazil, Essencial is email only and WhatsApp is bundled with Profissional and Empresa. If you are on Starter or Essencial, the WhatsApp channel is not part of your plan.
Do customers have to opt in before I message them on WhatsApp?
Yes. MaidPilot stores WhatsApp consent separately from SMS consent, and transactional WhatsApp needs explicit opt-in for that customer. Confirmation and schedule-update messages only send to opted-in customers, and STOP keywords are honoured per channel.
Can I still use WhatsApp for reminders when the customer replies late?
Transactional WhatsApp messages are not blocked by the 24-hour reply window; the window only affects the Inbox composer. If an earlier WhatsApp send failed to deliver, or the last three sends got no reply at all, optional pings are suppressed instead of piling up.
Does WhatsApp replace email and SMS in MaidPilot?
No. Email, SMS, and WhatsApp are separate channels with separate consent. Per notification event, WhatsApp and SMS are mutually exclusive, and there is no silent fallback from one to the other.
What breaks when a cleaning company runs on WhatsApp alone?
Three things: no single record of the promise you made, no reliable memory of property access or pets, and no queue — a message that arrives while two people are cleaning waits until someone looks at a personal phone. Automation fixes the third; a system of record fixes the first two.
