Cleaning quote template

Copy this structure into every quote: scope first, price second, next step last. Includes a filled example and the exclusions that prevent day-of-service arguments.

The template

  • Client name, property address, and contact
  • Service type: standard, deep, move-out, turnover, or commercial
  • Property facts: bedrooms, bathrooms, square footage, pets, access notes
  • Included work, room by room — attach the matching checklist
  • Price: flat visit rate, frequency discount if recurring, and each extra as its own line
  • Not included: interior windows, laundry, dishes beyond the sink, organization, or anything you did not see
  • Schedule: arrival window, estimated duration, crew size
  • Payment: due when, by card, check, or bank transfer — plus late fee if any
  • Valid until: a date 14 to 30 days out
  • Next step: reply to approve, and the first available date

Filled example

This quote covers a one-time standard clean for a 2-bedroom, 1-bathroom apartment, about 900 sq ft: kitchen and bathroom sanitation, floor care, dusting, and trash removal. The rate is $165 for the visit. It does not include interior windows or laundry. If approved by Friday, the first opening is next Tuesday between 9 and 11 AM. Payment due on completion by card. This quote is valid for 14 days.

Quoting rules that hold up

  • Quote flat for standard, deep, and turnover work. Use hourly only when scope is genuinely unknown, with a written cap.
  • Walk the property — in person or by video — before quoting deep, move-out, and commercial jobs.
  • Name who supplies products and equipment. If the client supplies them, the crew must know before arrival.
  • Read the finished quote as the customer: service named, property described, inclusions clear, exclusions visible, next step obvious.
FAQ

About quoting

What must every cleaning quote include?
The property, the service type, the included rooms and tasks, the price and what changes it, the arrival window, payment terms, and an expiry date. A quote without exclusions is a future argument.
Should I quote flat or hourly?
Flat for standard, deep, and turnover cleans — clients buy an outcome, not hours. Hourly only for first-time or hoarding-level conditions where scope is genuinely unknown, with a written cap.
How long should a quote stay valid?
Fourteen to thirty days. Long enough to decide, short enough that your costs and schedule still hold when they sign.
Do I need a walkthrough before quoting?
For deep, move-out, and commercial jobs — yes, in person or by video. For standard recurring cleans, photos plus bedrooms, bathrooms, square footage, and pets are usually enough.
